This Privacy Policy explains how Gabon Digital ("we", "us") collects, uses, shares and protects personal information. We follow the principles of Canada's Personal Information Protection and Electronic Documents Act (PIPEDA). In short, we collect only what we need, we tell you why, we share only with your consent, and you can ask us to delete your information at any time.
1. What we collect
- Buyers and renters (the Find a Property form): your name, email, optional phone number, what you're looking for (buy, rent or invest; residential or commercial; areas; budget range; property type; bedrooms; timeline; pre-approval status) and any notes you add.
- Realtors (the Apply to join form): your name, brokerage, RECO registration number, email, phone, service areas, plan, and any notes.
- Business clients: the contact details and materials you send us by email so we can do the work.
- Technical data: our hosting and form providers may automatically log basic information, such as your IP address and browser type, for security and to prevent spam.
We don't ask for, and you shouldn't send us, sensitive information such as your SIN, banking details, or full financial or mortgage documents.
2. Why we use it
- To match a buyer's request with a suitable licensed realtor, and to follow up by email about that request.
- To review realtor applications, including checking registration on RECO's public register, and to provide, bill and support subscriptions.
- To provide the services our clients ask for, and to send invoices and reports.
- To keep our website secure, prevent spam and meet legal or tax obligations.
We don't sell your personal information, and we don't use it for unrelated purposes without asking you first.
3. Consent and sharing with a matched realtor
We share a buyer's details with a licensed realtor only if the buyer gives consent by ticking the consent box on our form. We share them only with the realtor or realtors matched to that request, and only so they can help the buyer find a property. Realtors who receive a lead must use it only for that purpose and handle it under privacy law. You can withdraw consent at any time. We'll stop sharing your information from then on, but we can't take back information we already shared, so you may also want to contact the realtor directly.
Other than that, we only share personal information with the service providers below, or when the law requires it.
4. Service providers
We use trusted providers to run our business, including website hosting (Cloudflare), form delivery (FormSubmit) and email, as well as a payment processor for subscriptions. These providers may store or process information outside Canada, including in the United States, where it may be accessible to authorities under local law. We only share what each provider needs to do its job.
5. Email
We email you about the request you made, or the service or subscription you signed up for. Every marketing email includes a way to unsubscribe, as required by Canada's anti-spam law (CASL).
6. How long we keep it
We keep buyer requests for up to 24 months after your last contact with us, unless you ask us to delete them sooner. We keep realtor and client records for as long as the relationship lasts, and after that only as long as tax and accounting law requires.
7. Security
We use reasonable safeguards, such as encrypted connections (HTTPS), access limited to people who need it, and reputable providers. No system is perfectly secure, so please don't email us anything highly sensitive.
8. Your rights, and how to request deletion
You can ask to see the personal information we hold about you, correct it, withdraw consent, or have it deleted. To make a request, email [email protected] with the subject "Privacy request", and tell us what you'd like. We may ask you to confirm your identity, and we'll respond within 30 days.
9. Cookies and analytics
Our website doesn't use advertising cookies or tracking pixels. Our hosting and form providers may use strictly necessary cookies or similar technology for security and spam protection, such as the captcha on our forms.
